Summary

Reporting to the Director of the Department and under the coordination of the Administrative and Budgetary Oversight Officer, the Administrative and Financial Monitoring Technician is responsible for ensuring the administrative and financial monitoring of the International Programs Department’s projects, providing the necessary support for the successful conduct of the Department’s activities and supporting the Administrative Assistant in his or her duties.

Main functions

1. Ensure administrative follow-up on programming case files

  • Manage the physical records in accordance with the project’s life cycle, from the opening of the file to its archiving, and ensure that they meet our administrative requirements;

2. Ensure financial monitoring of projects

  • Analyze the financial reports to justify the amounts paid to partners by the International Programs Department;

3. Provide administrative support to the Department

  • Ensure proper functioning of equipment, facilitate the work of all members of the Department (meetings, missions, etc.) and assume any other related responsibility;

4. Support management and the management team

  • Obtain the necessary assistance for drawing up various documents and ensure travel logistics;

5. Support the Administrative and Budgetary Oversight Officer

  • Assist in developing IPD management tools and help establish and update administrative procedures.

5. If necessary, fill in at the reception desk

Required qualifications

Education

  • DEC (Diploma of College Studies) in accounting, office technology (bureautics), administration or the equivalent

Languages

  • Proficiency in French and English, both spoken and written
  • Good knowledge of written Spanish
  • Functional Portuguese (an asset)

Software

  • Proficiency in Microsoft Office suite (Outlook, Word, Excel).
  • Knowledge of a database program

Experience

  • Three years relevant experience in administrative and financial monitoring

Specific knowledge

  • Sensitivity to political and socioeconomic realities, as well as international development issues
  • Knowledge of the Church and its engagements in social justice matters
