Summary

Under the responsibility of the Executive Director, the person in charge of the Orientation Assembly (OA) and governance support assists the Strategy and Organizational Development Advisor in carrying out two mandates:

  1. They are involved with the working groups in the planning, organization, and implementation of the Orientation Assembly, which will take place in Ontario in May or June 2027.

  2. They provide support to the governance committee in carrying out its mandate.
Orientation Assembly:
  • Participate in the organization, preparation, and logistics related to the Orientation Assembly.
  • In collaboration with the Strategy and Organizational Development Advisor, organize and assist with meetings of the steering group and committees for the Orientation Assembly, ensuring their smooth operation, including taking minutes.
  • Coordinate the work of the planning committee, the steering group, and subcommittees to ensure that the schedule is adhered to.
  • Develop reflection and analysis documents during the consultation process and ensure proper communication.
  • Keep steering group members informed of the progress of all key plans.
  • Prepare progress reports to be presented to the National Council and its Executive Committee.
  • Handle the registration of delegated participants and manage logistics (transportation, meals, accommodation, etc.) for all attendees, in collaboration with the executive assistant.
  • Oversee the welcome and coordinate the event activities on-site in collaboration with the members of the various committees.
  • Monitor expenses according to the budget allocated for the event.
Orientation Assembly:

The advisor in organizational strategies and development will coordinate support work on these aspects with the chair of the governance committee.

  • In collaboration with the chair of the governance committee, participate in and document committee’s meetings and its working groups (agendas, minutes, follow-up).
  • Provide logistical and documentation support in the preparation and follow-up of the annual general assembly (AGA).
  • Participate in projects related to compliance, best practices, and the improvement of governance processes (creating guides, updating procedures, etc.).
  • Participate in advancing special projects identified on the Governance Committee’s calendar.
  • Efficiently organize and structure governance-related documents on appropriate digital platforms (e.g., SharePoint, Teams).

  • Carry out any other mandates or tasks assigned by the Executive Director.

Required qualifications

Education
  • Two relevant university certificates
Languages
  • Proficiency in French and English, spoken and written
  • Ability to compose, edit, translate, and proofread texts
Software
  • Proficient in Microsoft Office suite (i.e. Outlook, Word, Excel, PowerPoint)
Experience
  • Three (3) years of relevant experience.
  • Experience working in a non-profit organization.
Specific knowledge
  • Knowledge of governance practices within a board of directors
  • Awareness of political and socio-economic realities
  • Knowledge of the church and its commitments to social justice
Communications
  • Internal communication: Very good listening and interpersonal communications skills
  • External communication: Very good external communication with the public

Working conditions

  • Entry salary depending on experience and the number of languages mastered and required by the position
